These are the rules for using Ledger AI. Ledger AI is made and operated by Hey Ledger AI Corp. ("we", "us"), an Alberta corporation, so these terms are between you and Hey Ledger AI Corp. They're written in plain English on purpose. By creating a workspace or using the app, you agree to them. If you don't, please don't use Ledger AI.

What Ledger AI is

Ledger AI is a business copilot for small businesses. It connects to tools you already use — QuickBooks Online, Google Calendar, Gmail, Google Business Profile, Stripe — and answers questions, drafts documents and takes actions on your data.

  • You stay in charge. Anything that leaves your workspace — an invoice, an email, a booking, a payment link — is shown to you first and only goes out when you confirm it. The exceptions are the automatic lanes you switch on yourself — the missed-call text-back, night-before appointment reminders, Front Desk replies and your public booking page — which act on your behalf until you switch them off.
  • It is not an accountant, lawyer or tax advisor. Ledger AI works from the numbers in your books and can make mistakes. Check anything that matters before you rely on it, especially tax and legal questions.

Your US$20 AI onboarding credit

Eligible new owners and businesses receive one US$20 promotional AI credit for the entire original 14-day software trial after verifying their email and phone and completing two-step sign-in. Phone verification is initially available for Canadian and US numbers. If your number is shared or unsupported, contact us for an eligibility review.

The credit is shared by everyone in the business, on every device. It is not US$20 per employee, per month, per plan or per sign-in method. Changing plans, adding a card, reconnecting accounts, deleting an account or starting again does not create another credit or extend its original expiry. Existing trials keep their previously offered terms.

Credit covers AI use at Ledger AI’s usage rates, not cash, subscription fees, texting, carrier service or other provider charges. Usage varies by task; no fixed number of messages is promised. Unused credit expires with the original trial, is non-transferable and cannot be redeemed or refunded for cash. There are no automatic top-ups.

AI requests pause when the available credit is used or reserved by work already in progress. Your saved setup and non-AI trial features remain available until the trial ends. Paid plan allowances begin only after verified subscription activation; adding a card during a free trial is not paid activation. Live calling and texting still require a paid subscription and provider activation.

Eligibility, verification and aggregate usage limits protect the offer against repeat claims and abuse. We may temporarily pause new claims or trial AI when those limits are reached, or review suspicious claims. Shared contact details can be reviewed by support; a new email alone does not establish a new entitlement.

Your account

  • You must be at least 18 and authorized to act for the business you sign up.
  • Keep your sign-in email secure. Anyone with access to your inbox can sign in to your workspace.
  • Team members you invite act under your workspace. You're responsible for who you invite and what they do.
  • One workspace per business. You may not share, resell or sublicense your access.

Your data

Your data is yours. We only use it to run the features you turn on, exactly as described in our Privacy Policy. We never sell it, never use it for advertising, and never train AI models on it.

  • Every connection (QuickBooks, Google, Stripe) requires your explicit consent. You can disconnect any of them — QuickBooks, Gmail and Google — from Business profile & settings → Connections (QuickBooks can also be cut from your Intuit account's connected apps), and all of them by deleting your workspace.
  • Your customers' and crew members' details — names, phone numbers, emails, invoices, hours worked and, if you use Crew Command, a crew member's location while they are clocked in — are your data too. You're responsible for having the right to collect them and to contact those people, and we process them only on your instructions.
  • Our use of information received from Google APIs follows the Google API Services User Data Policy, including the Limited Use requirements.
  • You can delete your workspace and everything in it at any time. Deletion is permanent.

Free trial, billing and cancellation

  • New workspaces get a 14-day free trial. No card is needed to start.
  • After the trial, Ledger AI is a monthly subscription billed through Stripe. The price is shown on our pricing page and in the app before you add a card.
  • Your crew and your customers never cost a seat — crew links, time cards and customer portals are included without limit. An additional owner-level login for a teammate is a paid seat at the price shown on the pricing page; only the workspace owner can invite one, and the seat is billed automatically from the day the teammate joins until you remove them.
  • Prices are charged in US or Canadian dollars at the same number, based on the currency you check out in. Taxes are added where the law requires.
  • Every plan includes a monthly AI allowance (shown on the pricing page; how AI usage works). When it's used up, the AI copilot pauses until the 1st of the next month or until you buy a top-up — invoicing, payments, booking, crew and phone keep working. A top-up adds to the allowance of the month it is bought in. Unused allowance does not carry over.
  • Your business phone number is included in both plans, along with a monthly texting credit — $10 on Ledger Solo and $25 on Ledger Pro, as shown on the pricing page — metered at our carrier's actual cost per message segment (a long text counts as more than one segment). Unused texting credit resets on the 1st and does not carry over. If you forward your own line instead, it isn't metered. Add-ons (extra AI allowance or a $25 texting top-up) are shown with their price before you buy them, and top-up credit is added the moment the payment clears.
  • If you cancel, we hold your business phone number for 30 days so your customers can still reach you if you come back; after that it's released to the carrier and can't be recovered.
  • If your customers pay you by card through Ledger AI, that runs on your own Stripe account. You're the merchant: Stripe's card-processing fees apply to you, and refunds, disputes and chargebacks are between you, your customer and Stripe. Ledger AI takes no cut of those payments.
  • Cancel any time from Business profile & settings → Subscription & billing. You keep full access until the end of the period you've paid for. After that — or when a trial ends without a card — access to your workspace is suspended until you subscribe again. Nothing is deleted: your records are kept safe, and from the suspended screen you can still export your data or delete your account. We keep a suspended workspace for at least 90 days; after that we may delete it permanently, and you can delete it sooner yourself. We don't give partial-month refunds.
  • If a payment fails, we'll tell you and give you time to fix it before anything is turned off.
  • Founding-customer price protection: The first 250 businesses accepted into Ledger AI’s founding phase receive lifetime founding pricing. Their base subscription rate—Ledger Solo at $399/month or Ledger Pro at $699/month, in their selected CAD or USD billing currency—is locked for as long as their subscription remains active. This is a monthly subscription, not a one-time lifetime purchase. The price lock covers the base subscription rate; applicable taxes, payment-processing fees, extra teammate logins and optional usage top-ups remain separate.
  • For subscriptions outside this founding offer, prices can change. We will email you at least 30 days before a price change takes effect.

Acceptable use

Use Ledger AI for running your own legitimate business. Don't use it to:

  • send spam or messages people haven't agreed to receive — you're responsible for having consent under anti-spam law (such as Canada's CASL and the US TCPA) before texting or emailing your customers and crew through Ledger AI;
  • break any law, including tax, privacy and consumer-protection law;
  • access data you don't have the right to access;
  • probe, overload or reverse-engineer the service.

We can suspend or close a workspace that breaks these rules. We'll tell you why unless the law prevents it.

Third-party services

QuickBooks, Google, Stripe, Apple, our phone carrier and our other processors (listed in the Privacy Policy) have their own terms, and connecting them means you also agree to those. If one of them changes or shuts off an integration, we'll do our best to adapt, but we can't guarantee any third-party service stays available.

What we promise, and what we don't

  • We work hard to keep Ledger AI fast, accurate and available, and we back up your data daily.
  • Ledger AI is provided "as is". AI answers can be wrong. We aren't liable for decisions you make based on them, or for losses from outages, third-party failures or events outside our control.
  • To the extent the law allows, our total liability to you is limited to what you paid us in the 12 months before the claim.

Changes and governing law

We may update these terms. If a change matters, we'll email you before it takes effect; continuing to use Ledger AI after that means you accept it. These terms are governed by the laws of Alberta, Canada.
