How it works

Ledger scans for receipts and invoices, not your whole inbox

It searches for the language a bill actually uses — receipt, invoice, order confirmation, amount due, payment received — and skips spam, trash, social, and promotions. It's not reading your personal email; it's looking for supplier paperwork.

It reads back further than you'd think

Each scan looks back 14 days, not just since yesterday — so a day the scan doesn't run for any reason never becomes a permanent gap. Every message it's already logged is skipped automatically; re-scanning never creates a duplicate.

Vendor, total, GST, and date — extracted automatically

Ledger reads the email body and, when the numbers aren't in the message itself, opens the attached PDF to find them. Vendor name, total, GST, currency, and a one-line summary come back structured and ready to review.

You confirm the category — then it posts

Nothing goes into QuickBooks until you pick the expense category and confirm. A receipt that's already been posted can't be posted a second time, so re-scanning or re-checking is always safe.

Costs captured, not chased

Standing inbox watch — no forwarding receipts to yourself, no folder to remember to check.

PDF-attached invoices, read in full — when the email body alone doesn't carry the total, Ledger opens the attached PDF to find it.

Photo receipts join the same pipeline — snap a paper receipt in the app and it gets the identical vendor/total/GST extraction and review-then-post flow as an emailed one.

Category confirmation, every time — Ledger suggests an expense account based on the vendor; you confirm or change it before anything posts.

Can't double-post — a receipt already posted to QuickBooks is locked; posting it again is blocked at the source.

Ask about any email, not just receipts — Ledger can also search your recent mail, read a specific message, and draft a reply for you to send.

Gmail access is read-only and used solely to detect supplier receipt and invoice emails for Receipt Radar. Ledger's use and transfer of information received from Google APIs adheres to the Google API Services User Data Policy, including the Limited Use requirements.

In practice: we do not use Gmail content for advertising, and no human reads your email except as needed to debug a support request you've raised, with your knowledge.

Disconnect Gmail any time from Settings → Connections and scanning stops immediately. See the Privacy Policy for full retention and deletion details.
